Verify Department Coding Structure and Organization (FIMS Hierarchy)

Required Action

After you are identified as a Space Delegate, make sure the hierarchy of Dept IDs and Base Departments and that roll up to the College/School/Division are correct.

Review your departmental hierarchy and notify of any modifications that need to be made no later than 5 pm on July 29.

Data Source

  1. Log into FM:Interact – if you do not have your user account set up yet, please contact the FIMS staff immediately, either by phone or e-mail.
  2. From the Main Menu, click on Space Management, then Documents.
  3. Click the document named "FIMS Hierarchy of Departments" – it’s an MS Excel file.
  4. You will be prompted for a download – choose to Save this file to your computer.

Steps to Complete

  1. Open the file you downloaded above and find your Base Department.
    • Use the "Find & Select" button – Hit [Ctrl+F].
    • Type in your Base Departments number (an N number), or the name.
  2. Check to see the hierarchy suits your department.
  3. If necessary, rearrange your DeptIDs to report to the correct Base.
  4. If necessary, report any changes to the Base Departments that need to be made as approved by your Dean (academic groups), or Director (administrative groups).
  5. E-mail back the revised hierarchy for your department to
    • Include the Base Department number(s) you are reporting for in the body of the message.

The FIMS hierarchy mimics the coding scheme of accounts found in EIS modules. The goal of the FIMS hierarchy is to provide you with a means already familiar to you to departmentalize your space. The hierarchy facilitates the assignment of departments to space (i.e. rooms) in the database by using the fifth level (i.e. DeptID). It also allows FIMS staff to either aggregate or break-out space data for reporting purposes.

Because this hierarchy is customizable, it can be modified to meet your department’s needs. The numbers and names for the Base Departments and DeptIDs can be added, deleted, or edited. The hierarchical organization of the DeptIDs and Base Departments can be modified, as well.

Any changes to a department’s hierarchy must be reported before 5 pm on July 29. Our date to “initialize” the survey – meaning the day changes can be made through the Space Survey website – is after 5 pm on August 4, 2008.
