Backing up Hard Drive Files

While you may prefer to keep documents and files on your C: drive or in My Documents, you will want to keep in mind that if your hard drive was corrupted or crashed, or we needed to re-image your computer, files that you have saved may not be recoverable. Be aware of what files you are storing on your hard drive and how important they are if they were lost. We encourage you to always save files on your H drive whenever possible since these files are backed up on a nightly basis and are recoverable. If you choose not to store files on the H drive for whatever reason, or if you have inadvertantly stored files on your hard drive, please spend some time periodically to organize and back up your files in case they are lost.

You will want to familiarize yourself with where files on your hard drive are stored and have an idea of what you may need to organize and/or back-up. Some examples are:

  • My Documents
  • Desktop - C:/Documents and Settings/your login/Desktop
  • Instant Messager logs - Ususally in C:/Documents and Settings
Backing up Files
  • Save important files to your H drive. Avoid saving large files such as video, music or pictures, since these take up large amounts of space on the main server.
  • Burn files to a CD if you have a CD-R drive. Contact the helpdesk if you need assistance
  • Back up files to other external media such as flash drives or external hard drives.

Export Favorites/Bookmarks

In the event that we re-image your computer or you change computers, you may want to save your web Favorites or Bookmarks. Here's how:

Internet Explorer
  • Select File > Import/Export
  • With the Wizard that appears, select Next, then "Export Favorites"
  • Click Next, then choose the location you want to save it to (we recommend the H drive). Wherever you save it, just remember where it is.
  • Once it's saved, you would do the same steps on your new computer/image, except Import.
Firefox
  • Select Bookmarks > Organize Bookmarks
  • On the screen that appears, choose File > Export
  • Choose the location you want to save it to (we recommend the H drive). Wherever you save it, just remember where it is.
  • Once it's saved, you would do the same steps on your new computer/image, except Import.

GroupWise

Note: After March 12, 2008, GroupWise will no longer be used for users supported by Facilities Information Systems, since all users will have migrated to Outlook.

Clean up and Manage Mailbox Size

Your total mailbox size should never be more than 400 MB. Check the size of your malbox by selecting Tools > Check Mailbox Size.... If you are well below that limit, you aren't required to clean up your mailbox, but it is recommended that you do in order to help clean off mail from the GroupWise database and speed up the migration process. Below are a few tips for cleaning out your mailbox.

Clean up and Manage Archive Size

If you are using the Archive functionality in GroupWise, it is easy to forget about what is being accumulated in your archive. Nevertheless, you may want to spend some time going through your archive folder and do some cleaning up. Once your mail is migrated, we will also have to convert your GroupWise archive into a Outlook-readable format (.pst). If your archive is very large, it can take long time to convert. Additionally, if your archive is stored on your H drive, then it affects the availability of space on our server. Below are a few things you can do to clean up your archive.

How do I check if I am using the Archive functionality or not?
  • In GroupWise, select Tools > Options from the toolbar. Double-click on the Environment button.
  • Click the File Location tab.
  • If the Archive Directory box does not have a path in it, you are NOT using archiving, so don't bother with all this stuff!
  • If the Archive Directory box has a path in it, you might be using archiving. This just specifies where the archive will be stored if you have set auto-archiving. We have one more thing to check.
  • Click on the Cleanup tab.
  • If the two top boxes have any of the "Auto..." options checked you are using archiving.
  • If both the "Manual delete and archive" options are checked, then you probably are NOT using archiving. However, you may want to continue below just in case you've had an archive in the past that you want to keep.
If you are using Archiving
  • Open your archive by going to File > Open Archive.
  • Go through the same steps as "Clean up and Manage Mailbox" above
  • If you have multiple archives, you will need to consolidate them. Instructions here.
  • When you are finished, rebuild your archive. Instructions here.

Clean up and Manage Contacts

Whenever you send an email, GroupWise saves that email address in your Frequent Contacts. You may also create Contacts manually, along with multiple contact folders, shared folders, etc. However, when we migrate to Outlook, the Frequent Contacts folder will not be migrated. Therefore, you will want to transfer any addresses or groups that you want to keep to a personal folder.

  • Click on the Address Book button on your GroupWise toolbar.
  • Review the addresses in your address book folders and delete any that are no longer used. Note: You do not need to worry about the Novell Groupwise Address Book or the Novell LDAP Address Book
  • Review the addresses in your Frequent Contacts folder. Move any addresses or groups that you want to keep by dragging and dropping the items onto one of your personal folders.
